Flow is a project management product of MetaLab from Canada. A task management system was originally created for personal use by MetaLab, Flow was launched in 2011. Now, this tool has thousands of customers worldwide, including major enterprises such as Del Monte, Adobe, Costco, MIT and much more.

Flow offer responsive project management, task management, issue tracking, collaboration, notifications, reporting, traditional project management features and much more for all users from individual to big companies. Similarly like other project management tool, Flow is integrated with several tools that allow you to create tasks and subtasks.

It allows you to set priorities, dates and reminders and all these you can easily sync with your PC and mobile devices. It also offers calendar view that some project management tool does not offer. The calendar feature is helpful in planning the week or month goal and getting an overview on what to expect at the end of week or month.

Flow is a completely web-based program and it is compatible with any web browsers on both Windows & Mac and in most of the smartphones. It is very quite user-friendly.

When you will first login, you will find that Flow is providing you with the very limited tutorial of where to go on your screen and how to create a new project and to add new team members. Flow: Key Features

Flow is a simple project management tool that primarily focuses on efficient task management. Its structure is middle around workspaces that is further broken into lists, groups and finally into individual tasks.

Workspaces: This is the largest units of this tool and it can be arranged in whatever way that makes most of your business. In workspaces, you can create separate departments, teams, companies within a particular company or individual product launches. In general, each workspace can have separate icons, companies and contain its own members, groups, and lists which are completely different from those in your other workspaces.

Lists: This is the second largest structure in the Flow. Lists are the best way to get connect and assign tasks and keep the workspace moving on. The list is created with individual tasks and it is completely public (shared with everyone in your workspace), however, it can be made secret if you have any security issue.


Groups: The lists are then can be organized into groups, which is shared within your workspaces. As and when your projects or workflow changes, you can, as per work progress you can add or remove a task from the lists for each group.

Tasks: This is the smallest unit of the Flow and can be assigned directly from the app’s task form, through the Quick Taskbar or by emailing messages. Each task has the history of updates, comments, files, attachments.  Each time when you update any tasks, the next scheduled task will automatically appear in your list.


Chat: Flow also features a chat option which is accessible from all areas of the tool. There is a little thought bubble in the lower right corner of the screen through which you can chat instantly. The dedicated chat app is available for mobile devices.

Dashboard: Every workspace has its own dashboard that allows you to view, edit or comment on your tasks. The dashboard displays every updated feeds constantly such as all recent tasks and list activity. Since it provides updated feeds of your works, the dashboard is absolutely the perfect “landing page” in your Flow account.


Calendar: This is one of the handy features that most of the project management tool does not offer. Calendar can be used for ‘creating, editing and rescheduling upcoming tasks’. It can be used to set to show everybody’s upcoming tasks or just your own. You can check all upcoming tasks that are due that day.

It is more cost-effective than before.  You should also know that Flow has been reviewed by many project management team, company, tech publication, particularly from the last two years.

Flow’s main aim, in my opinion, can be found in its natural simplicity of design and its unique organizational structure. However, MetaLab should work in the field of adding new third-party integration: a software system easy and straightforward. Flow should add bug tracker and accounting software if they want their users to get complete value for their money.

Overall, I am impressed with the design of this software and am satisfied with its excellent customer service. But in my opinion, Flow may not be the best option for larger enterprise but, it is good for mid-sized and small businesses that can take full advantage of this tool.
